Colleyville Chamber Event’s Coordinator
Reports To: President & CEO
Job Overview:
The Colleyville Chamber of Commerce is seeking a dynamic and enthusiastic Events Coordinator to join our team. This role is responsible for planning, organizing, and executing a variety of events that support the Chamber’s mission and objectives. The Events Coordinator will manage four major annual events, all programs, 12 annual luncheons, and various ribbon-cutting ceremonies. Flexibility in scheduling is essential as some events will require early mornings, late evenings, and weekends.
 
Key Responsibilities:
Event Planning and Execution: Plan, coordinate, and execute four major annual events, all Chamber programs, 12 annual luncheons, and ribbon-cutting ceremonies.
Budget Management: Develop and manage event budgets, ensuring all events are executed within financial parameters. Maintain accurate records of expenses and revenues.
Vendor Management: Source and manage relationships with vendors, including negotiating contracts and ensuring high-quality service delivery.
Communication: Serve as the primary point of contact for all event-related inquiries. Communicate effectively with internal and external stakeholders, including Chamber members, sponsors, vendors, and the public.
Standard Operating Procedures: Develop, implement, and maintain standard operating procedures and documentation for all events to ensure consistency and quality.
Flexible Schedule: Work flexible hours, including early mornings, late evenings, and weekends, as required by event schedules.
Attitude and Professionalism: Maintain a positive and proactive attitude. Display professionalism in all interactions and ensure a welcoming and supportive environment for all Chamber events.
 
 
Additional Responsibilities:
Marketing and Promotion: Work with the marketing team to promote events through various channels, including social media, email newsletters, and the Chamber website.
Volunteer Coordination: Recruit, train, and manage volunteers for events.
Logistics Management: Oversee logistical aspects of events, including venue selection, catering, audio-visual needs, and setup/breakdown.
Feedback and Improvement: Collect feedback from event participants and stakeholders to continuously improve event quality and attendee experience.
Documentation and Reporting: Prepare detailed reports on event outcomes, including financial performance, attendance, and participant feedback.
 
Qualifications:
  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field preferred.
  • Minimum of 2 years of experience in event planning and coordination.
  • Strong organizational and project management skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple projects simultaneously and work under pressure.
  • Proficiency in Microsoft Office Suite and event management software.
  • Ability to work independently and as part of a team.
  • Willingness to work flexible hours, including early mornings, late evenings, and weekends.
Physical Requirements:
  • Ability to lift and carry up to 25 pounds.
  • Ability to stand for extended periods during events.
  • Ability to travel locally to various event sites.
